What to do: Pick your primary application. Just one.
- Is it large format UV printing on rigid materials like acrylic or foam board? You're looking at flatbed UV printers.
- Is it digital bag printing? You need a roll-to-roll or a hybrid UV printer, and probably one with white ink capability.
- Is it paper cups? Don't buy a flatbed. You need a specialized paper cup fan printer that prints on cylindrical surfaces.
In my experience managing equipment purchases over the last 5 years, the 'multi-purpose' machine we bought early on ended up costing us more in wasted materials and setup time than the dedicated unit it replaced.
Step 2: Watch the Ink & Maintenance Costs (This is where they get you)
Everyone focuses on the price of the printer. Me too, at first. But let me tell you about the $300 printing job that cost us $1,200 in ink.

- Demand a sample run on your exact material. Send them the cups, the bags, or the fabric you plan to use. Don't accept their 'standard' test file.
- Check the setup time. How long does it take an operator (not a factory technician) to switch from printing on a bag to printing on a cup? A 15-minute switch is good. A 45-minute one kills your efficiency.
- Check the software. Does their RIP software play nice with your existing design workflow? I've seen a $10,000 printer made useless because the driver didn't support a common design file type.
After 5 years of managing these relationships, I've come to believe that the 'best' vendor is highly context-dependent. A machine that's 'easy' for one team might be a nightmare for another.
Step 4: Get Them to Put the 'Service Level' in Writing

Let's say you're looking at a paper cup printing machine price of $12,000 from Vendor A, and $9,000 from Vendor B. A $3,000 savings.
But Vendor B uses a proprietary ink system that costs $200 more per month than Vendor A's. Over 3 years, that's $7,200. Suddenly, Vendor A is cheaper by $4,200.
Your TCO checklist:

One last piece of advice—and it's a big one.
Don't buy based on the 'best' specs. Buy based on the best proof of concept. The machine that runs your specific job, with your ink, on your material, under your operator, is the one that saves you money. Everything else is just marketing.
